Appointmentist

Your calendar is full of promises. Appointmentist keeps them.

For therapists, tutors, salons, studios, estheticians, cosmetic nurses, med spas and anyone who works by appointment. Appointmentist reads your calendar and reminds you when a client is due a follow-up or a rebooking. AI can draft the message; you press send.

3-day trial. A card is needed to start. Cancel before it ends and the first charge never happens.

Every appointment ends with good intentions.

“I’ll send you the lesson notes tonight.”

Tonight became next week. The parents stopped asking.

“See you in six weeks!”

Nobody wrote it down. The client drifted away.

“Let’s check in after your first week.”

The week went by. Nobody called.

None of these people said no. The follow-up just never happened. Appointmentist lives in that gap.

Appointmentist catches the appointment, remembers the promise & nudges you until the next booking.

Appointmentist is a web app for people whose work runs on appointments. It reads the Google or Outlook (beta) calendars you choose and turns the appointments that need a follow-up into reminders for you. Writing to a calendar and messaging a client are separate permissions you grant yourself; both stay off until you turn them on.

  1. The appointment is caught

Mara’s color & cut is already on your calendar. Appointmentist adds her to your clients and, following your rules, plans a follow-up six weeks out.

  2. The reminder finds you

Six weeks later, a reminder arrives on Telegram or web push, where you’ll see it between appointments.

On iPhone, web push needs Appointmentist on your Home Screen.

  3. You reach out in a tap

Text, call or email Mara from the reminder. AI can draft the message; nothing goes out until you press send.

  4. The client books again

Your text carries a link to your booking page. Mara picks a time, the reminder closes itself, and at the visit you stamp her loyalty card.

Appointmentist calls them what you call them: clients, students or candidates.

Therapists

Clients hear from you between sessions, and the ones who should come back do.

Tutors

Parents hear how the lesson went, and next term’s enrollment stops depending on your memory.

Salons, studios & med spas

For salons, estheticians, cosmetic nurses and med spas: regulars rebook on time instead of drifting to the place down the street.

Recruiters

Candidates never go quiet waiting on you: every “I’ll get back to you” comes back on time.

How it starts

The first session is a short chat, in this order.

  1. Sign in with your calendar account

    Google, Outlook (beta) or Telegram.

  2. Protect your workspace

You set a passkey and get a recovery key. Keep the recovery key somewhere safe.

  3. Answer a few short questions

What kind of work you do, which calendars to watch and when to nudge you.

  4. Choose a plan

Every plan lists its limits. Checkout shows what is due before you confirm.

  5. Start your 3-day trial

Add a card at checkout. Cancel in Workspace, then Billing, before the first charge and it never happens.

What your clients tell you stays protected.

Keys that protect your workspace

A passkey protects it
A passkey from your device protects signing in and sensitive changes to your workspace.
A recovery key
Setup gives you a recovery key made of words. Store it somewhere safe: it is how you get back in if you lose your passkey.
One key per workspace
Each workspace has its own encryption key, never shared with another workspace.
Encrypted before it’s stored
Client details, notes and appointment details are encrypted before they’re saved, backups included. Appointment times and service names stay readable to us.
Readable only by you, with end-to-end encryption
With end-to-end encryption on, your client records and notes open only in your browser. Not even we can read them. Appointment times and service names stay readable to us.
Keys that change on a schedule
The master keys that protect your data are replaced regularly. With end-to-end encryption on, the app tells you when it’s time.
Stored data, ready for tomorrow’s computers
What we store is encrypted to hold up against the quantum computers of the future, not just today’s.

Every workspace gets a workspace key and a passkey, on every plan.

Privacy & security in detail

What Appointmentist does with your calendar data

We read

  • Events from the calendars you explicitly select
  • Titles, times, descriptions, locations, attendees
  • To find follow-ups, remind you, show your schedule and build your client list

We never

  • Touch a calendar you haven’t given us write access to
  • Message your clients, attendees, or groups on our own, apart from booking confirmations you switch on and automatic opt-out replies
  • Sell your data or show ads. We do not use your data to train AI models

Only when you choose

  • AI help you turn on or ask for, which sends appointment details to an AI service
  • A booking page, which uses your busy times to hide taken slots
  • Calendar writing: follow-up time, bookings and appointments you add

Appointmentist’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (opens in a new tab), including the Limited Use requirements. Unlink an account (keep one way to sign in) and our access to it ends, and its appointments are deleted. The details are in our Privacy Policy.

Frequently asked questions

Does it change anything in my calendar?

Not unless you ask it to. Connecting a calendar only reads it. If you want your follow-up time blocked out where you’ll see it, you can switch writing on. That asks for permission separately, and by default it writes to a calendar of its own rather than touching one you already keep.

Do I need a card to try it?

Yes. Checkout asks for a card to start the trial and shows what is due today. You can use every feature of the plan you pick and cancel before the trial ends so the first charge never happens. A trial is available once per account. See plans

What happens if a payment fails?

Your workspace is frozen: it becomes read-only and your data is kept. A successful payment unfreezes it. There is no lesser plan to fall back to.

How do I cancel?

In Workspace, then Billing, at any time. You keep access to the end of the period you paid for.

Will it message my clients for me?

Only when you tell it to. The reminder comes to you first, and when one is due you can send the message from the app in a couple of taps. AI can draft it, but you press send. Nothing goes out on its own, apart from booking confirmations you switch on and automatic opt-out replies.

What does Appointmentist do?

It reads the Google and Outlook (beta) calendars you connect, finds the appointments that deserve a follow-up, and reminds you at the right time on Telegram or web push. You decide how follow-ups start: from every appointment, from rules you set, or from AI suggestions.

What does it do with my Google data?

With your permission, it signs you in with your Google account and reads events from the calendars you select: titles, times, descriptions, locations, and attendees. It uses them to find your follow-ups, remind you, show your schedule and build your client list, and for the extras you choose: AI help when you turn it on or ask for it, your booking page’s open times, and writing to your calendar. Use of Google user data follows the Google API Services User Data Policy, including its Limited Use requirements: no ads, no selling data, no unrelated purposes, and no training AI models on it.

Which calendars are supported?

Google Calendar, plus Outlook.com and Microsoft 365 work or school calendars, which are in beta. You can connect several accounts of any kind and choose exactly which calendars to watch from each.

How do I get reminded?

On the channels you choose: Telegram reminders in your private chat with our bot, or push notifications in your browser or the installed app. On iPhone and iPad, web push works once you add Appointmentist to your Home Screen.

Do I have to use the AI features?

No. Automatic AI stays off until you turn on “Use AI for scheduling”, and other AI features run only when you press their button. Your rules and the “Everything else” line work without sending any of your calendar content to an AI provider. If you do use AI, you can bring your own key.

How do I delete my data?

You can unlink a calendar account (keep one way to sign in), remove a reminder channel, or delete your account from the app at any point. Unlinking ends our access to that account. The Privacy Policy lists what is kept, why, and for how long.
