A recruiter’s calendar mixes candidate interviews with internal syncs and planning calls. With AI on, Appointmentist reads each one. You stay in control

Automatic AI is off until you turn on “Use AI for scheduling”, and other AI features, like a draft, run only when you press their button. When it’s on, you still choose whether new follow-ups wait for your approval or are added automatically, and nothing AI drafts reaches a client unless you send it. If you’d rather keep AI out entirely, leave it off: your rules and the “Everything else” line work without it.

It learns from your decisions

Every suggestion you schedule or dismiss teaches it a little more about that calendar. Those decisions become a short note it reads before judging the next appointment there, so it gets your bookings right more often. You can read what a calendar has taught it, or tell it to forget and start over. With end-to-end encryption on, the note is sealed with your team’s keys, and it’s written only while “AI under end-to-end encryption” is on as well.

How to set it up

  1. In your workspace settings, open “Follow-up preferences”.

  2. Under “When we spot a follow-up”, keep “Ask me first” to approve each suggestion, or choose “Add automatically”.

  3. Open “AI settings”, add your AI key if your plan doesn’t include one, and turn on “Use AI for scheduling”.

  4. New suggestions wait under “Suggestions”, each with its reminder already written.

AI suggestions: common questions

Do I have to use AI?

No. Automatic AI stays off until you turn on “Use AI for scheduling”, and other AI features run only when you press their button. Your rules and the “Everything else” line work entirely without it.

What data does the AI see?

Only when AI runs, and only what it needs: once you turn on “Use AI for scheduling”, or when you press an AI button, an appointment’s details go to the AI provider so it can decide on a follow-up and draft the text. Details are in the Privacy Policy.

What if AI gets an appointment wrong?

Dismiss the suggestion and nothing is scheduled, or change its title and time before you schedule it. Each decision also teaches AI a little more about that calendar.

Does AI replace my rules?

No, it works with them. AI reads each appointment against your rules, and your “Everything else” line stays the fallback.
