Connect the Google or Outlook (beta) calendar your sessions live in and tick only the calendars that hold them. A personal calendar you leave unticked is never read.
Each session files itself on the patient’s record
Every session adds to the right patient’s record: the visit, the contact details the appointment carries, and the notes you write. Open it before the next session and you’re caught up in seconds.
The check-in comes back when it’s due
Two weeks later, the check-in call reaches you on Telegram or as a notification. Mid-session when it arrives? “Show this later” takes it off today’s list until tomorrow. Once you’ve called, mark it done.
Private by default, sealed if you choose
On every plan, patient names, contact details, notes and the sessions read from your calendar are encrypted before they’re stored, and backups hold only the encrypted copy.
Some paid plans add end-to-end encryption: your records then open only in your browser, after you enter your passphrase. It can’t be undone, and support can no longer look at your records to help, so read what changes before you turn it on.
Reminders can keep names off your lock screen by saying only that something is due, or only the times. And AI works only when you turn it on or ask it for something.
Getting started
Sign up with the Google or Microsoft (beta) account that holds your practice calendar.
When setup asks what you do, choose “I accept patients”. The app then calls the people you see patients.
Tick the calendars that hold your sessions, and leave your personal one unticked.
Connect Telegram or turn on notifications, then choose how much a reminder says under “What notifications say” in “Follow-up preferences”.

Will my patients hear from Appointmentist?
Only when you reach out yourself, apart from booking confirmations you switch on and automatic opt-out replies. Reminders come to you.
Can I keep patient names off my lock screen?
Yes. Under “What notifications say”, choose only that something is due, or the appointment and due times. Names and contact details appear only if you choose everything.
Who can read my notes?
You, and the colleagues you give access. Notes are encrypted before they’re stored. With end-to-end encryption on, only you and those colleagues can open them; without it, the service can, which is how support can look into a problem for you.
Does it change my calendar?
Not unless you ask it to. Connecting a calendar only reads it. Blocking out your follow-up time is an option you switch on, and by default it writes to a calendar of its own.
Do I have to use AI?
No. Automatic AI stays off until you turn on “Use AI for scheduling”, other AI features run only when you press their button, and your rules work without it. When AI runs, only what it needs from an appointment goes to the AI provider.
