At a salon: caught without typing a thing
Studio Lumi keeps its bookings in a Google calendar. On Aug 12, Mara K. comes in for a color & cut at 14:00. Appointmentist reads the appointment, adds Mara to the salon’s clients and, following its rules, plans a rebooking follow-up six weeks out, when her color will need a refresh. Nobody at the front desk typed a thing.

Set it and forget it
Pick the calendars that matter, like your bookings calendar or a shared team one, and Appointmentist checks them for you. Appointments that call for a follow-up become suggestions for you to review, or go straight onto your Agenda if you’d rather skip that step. And you can check again whenever you like.
You decide what it can touch
Connecting a calendar lets Appointmentist read it, and nothing goes out to your clients on its own, apart from booking confirmations you switch on and automatic opt-out replies. If you want your follow-up time blocked out where you’ll see it, you can turn that on: it asks for permission separately, and by default it writes to a calendar of its own rather than one you already keep.
How to set it up
Sign up and connect the calendar your appointments live in: Google Calendar, Outlook (beta) or Microsoft 365 (beta).
In your workspace settings, under “Calendars”, choose which calendars are read.
In “Follow-up preferences”, open “Manage rules” to set when each kind of appointment gets a follow-up. Anything no rule covers follows the “Everything else” line.
New suggestions wait under “Suggestions”, and the refresh button on your Agenda checks your calendars again right away.

Calendar scanning: common questions
Does scanning change anything in my calendar?
Not unless you turn it on. Connecting a calendar only reads it, and nothing goes out to your clients on its own, apart from booking confirmations you switch on and automatic opt-out replies. Blocking out your follow-up time on a calendar is an option you switch on, not a default.
Do I have to add follow-ups manually?
No. Suggestions are generated from your calendar automatically. You can also create follow-ups by hand whenever you like.
Which calendars can I connect?
Google Calendar, plus Outlook.com and Microsoft 365 work or school calendars, which are in beta. You choose which calendars in each account are read, and you can change that choice at any time.
What if an appointment doesn’t need a follow-up?
Dismiss the suggestion and nothing is scheduled. For appointments that never need one, like staff calls, a “Never follow up” rule keeps them out of your suggestions.
