A tutor’s rules, in plain sentences

A math tutor wants a recap for parents after every algebra lesson and a check-in the morning after a trial lesson, but nothing after staff calls. Two rules and one “Never follow up” rule cover it, and “Everything else” leaves the rest of her calendar alone. So Max P.’s algebra lesson at 15:00 brings a recap for his parents at 17:00.

Pick your level of automation

Start with “Everything else” to see what your calendar holds, add rules as patterns show up, or turn on “Use AI for scheduling” and let AI read each appointment against your rules. Nothing is set in stone: change a rule or switch AI on or off, and new appointments follow the new setting.

Timing that fits each appointment

A rule can add hours, days, weeks or months, move the follow-up to a weekday, or pin it to a time of day, like 10:00 the morning after a trial lesson. Chain steps together when one isn’t enough.

How to set it up

  1. In your workspace settings, open “Follow-up preferences”, then “Manage rules”.

  2. Under “Add rules”, describe your routine and press “Generate rules”, or choose “Build a rule by hand”.

  3. Read each rule’s sentence and adjust the timing. For appointments that should be left alone, set the rule to “Never follow up”.

  4. Decide what the “Everything else” line does with the rest.

  5. For AI on top of your rules, turn on “Use AI for scheduling” in “AI settings”.

Follow-up rules: common questions

Can I change my rules later?

Yes. Edit, switch off or delete a rule whenever you like, and new appointments follow your rules as they are now.

Do rules need any special syntax?

No. A rule reads like a sentence: when the title contains “Trial”, follow up a day later. You can also describe your routine in your own words and let the assistant write the rules.

What happens to appointments no rule matches?

Your “Everything else” line decides: follow up on them after the time you choose, or leave them alone.

Can I stop some appointments from ever getting a follow-up?

Yes. Set a rule to “Never follow up”, and the appointments it matches, like staff calls or personal plans, never turn into follow-ups.
