Connect several Google & Outlook calendars

Bookings on Google, personal plans on Outlook? Connect both to one workspace, and Appointmentist reads only the calendars you pick from each. Outlook and Microsoft 365 connections are in beta.

A therapist with two calendars

A therapist books in-person sessions in her practice’s Google calendar and runs online sessions from her Outlook account. She connects both, picks “Sessions” and “Intake calls” from the first and “Online sessions” from the second, and leaves her personal calendar unticked. After Olena M.’s fourth session, the check-in call two weeks later joins the same list as everything else, and her personal plans are never read.

One list, however many calendars

However many calendars feed it, there is one list of suggestions to review and one Agenda to work from. The bookings calendar counts, your team’s internal calendar doesn’t, and you can change your mind at any time.

Only the calendars you pick

Each account lists all of its calendars, and none of them is read until you choose it. Pick the ones that hold client appointments and leave the rest alone, like a personal or family calendar. Add or remove calendars whenever you like, and Appointmentist picks up the change on its next check.

How to set it up

  1. In your workspace settings, find “Calendars” and press “Connect with Google”, “Connect with Microsoft” for Outlook.com or “Connect with Microsoft 365” for a work or school account (both in beta).

  2. Under each account, press “Choose calendars” or “Select more”, and tick the ones that hold client appointments.

  3. Leave personal calendars unticked: only the ones you pick are ever read.

  4. To stop using an account, press “Unlink” beside it (keep one way to sign in).

Can I connect both Google and Outlook?

Yes. Google accounts, personal Outlook.com accounts and Microsoft 365 work or school accounts can be connected to the same workspace at the same time. Outlook and Microsoft 365 are in beta.

Do all my calendars get scanned automatically?

No. Only the calendars you explicitly select for each linked account are ever read.

What happens when I unlink an account?

Its calendars stop being read, and the reminders created from them are removed. Your other accounts carry on as before.

Will a client who shows up in two calendars get two records?

No. Appointments from every connected calendar land on the same client record, and if one ever slips through as a second record, Appointmentist suggests merging the two.
