Candidates, not calendar noise
With AI on, Appointmentist reads each appointment. Ihor D.’s final interview gets an offer follow-up for Friday at 10:00, with the reminder already written; the hiring team sync gets nothing. Rather keep AI off? A “Never follow up” rule keeps internal syncs out too.
The answer, drafted and ready
When it’s due, press “Follow up” and choose “Email”. AI drafts a subject and message from your interviews with the candidate. Change any word, then open it in your mail app or copy it with its formatting.
Months later, the name comes back
No role for a strong candidate today? Open the interview on your calendar, set “Follow up at” to a date months away and press “Remind me about this”. When the day comes, so does the reminder.
AI on your agency’s own key
If your agency already pays for OpenRouter or Google AI Studio, paste its key into “AI settings”. Every AI decision and draft then runs on that account. The key is stored encrypted and only ever shown masked, and if it stops working, AI pauses instead of switching to a shared key.
Some paid plans include a managed key instead, so you don’t need one of your own. And with AI off, your rules and the “Everything else” line keep working without it.
Getting started
Sign up with the Google or Microsoft (beta) account that holds your interview calendar, including a Microsoft 365 work account.
When setup asks what you do, choose “I am hiring”. The app then calls the people you interview candidates.
Tick the calendars that hold interviews. For internal syncs on the same calendar, add a “Never follow up” rule.
On a paid plan, turn on “Use AI for scheduling” in “AI settings”, adding your agency’s own key if your plan doesn’t include one.

Will candidates get emails I didn’t write?
No. Reminders come to you, and an email goes out only when you send it from your own mail app. An AI draft is a starting point: change it or write your own.
Can we use our agency’s AI account?
Yes. On any paid plan, paste your agency’s OpenRouter or Google AI Studio key into “AI settings”, and AI runs on your own account.
Does it work with Outlook?
Yes, in beta: with a Microsoft 365 work or school account, or a personal one like Outlook.com. Google and Outlook calendars can be connected side by side; reading several at once needs a paid plan.
What if AI gets an interview wrong?
Dismiss the suggestion and nothing is scheduled, or change its title and time before you schedule it. Each decision teaches AI a little more about that calendar.
