Client records built from your calendar

Each appointment adds to the right client’s record by itself: their name, the contact details the appointment carries and every visit so far. Open a record before a session and you’re caught up in seconds.

A therapist’s record of every session

Before each session with Olena M., her therapist opens Olena’s record: four appointments so far, the phone number that came in from her calendar, and the note she pinned so she sees it first. The note is the only thing she typed; each appointment filed itself on the right record.

What you get

  • A record for every client, created and kept up to date from your appointments
  • Every visit on one timeline, next to the notes you write
  • Pinned notes for what you must never forget, like an allergy
  • Search by name, email or phone
  • Likely duplicates found for you, and merged with their whole history

Filled in as you work

Every appointment Appointmentist reads adds to the right client’s record, and a returning client lands on the same record instead of a new one. Your team stays off the list, so colleagues don’t turn up as clients. And the list uses your word for the people you serve: patients, students, clients or candidates.

Everything about a client in one place

A record holds their details, a timeline of every visit with the calendar it came from, and your own notes. Pin the note that matters most, like an allergy or a standing preference, so it’s the first thing you see. On paid plans you can attach files to notes too.

Tidy without the busywork

When one person ends up with two records, Appointmentist suggests merging them, and everything moves into the record you keep: visits, notes and calendar events. Every phone number and email address found for a client stays on their record, and you choose which one to use.

How to set it up

  1. Connect your calendar: records are created from the appointments on it.

  2. Open “Clients” (it uses your word, like “Patients” or “Students”) and search by name, email or phone.

  3. On a record, write a note and choose “Pin to profile” for anything you must see first.

  4. If one person has two records, choose “Merge into another record” from the record’s menu.

Client records come with every plan. Attaching files to notes needs a paid plan.Compare plans

Client records: common questions

Do I have to type in my clients?

No. Records are created from the appointments on the calendars you connect. You can still add someone by hand whenever you like.

Who can see my client records?

You, and the teammates you give access. Client details and notes are encrypted before they’re stored, and on some paid plans you can turn on end-to-end encryption so that only you and your team can read them.

Can I merge duplicate clients?

Yes. Appointmentist points out likely duplicates, and merging moves every visit, note and calendar event into the record you keep.

Which plans include client records?

Every plan. Attaching files to notes comes with paid plans.
